Custom GPTs vs. AI agents — what's the difference, and when do you use each?

A Custom GPT is a conversational assistant you train with context so it behaves in a specific way; an AI agent is a predefined workflow that runs through a series of steps on its own, often without you needing to initiate it. The difference is initiative and structure, not raw capability — and picking the wrong one for the job is the most common way these projects stall.

A Custom GPT is still a general model under the hood, but steered with more context, personality, and guardrails than a plain chat session. Train it on your company and product info so it answers with full context (and update it as things change), your brand voice so it writes like you would, templates and examples so its output matches your structure, and high-performing assets so it can model what's already worked. An AI agent, by contrast, is built to run itself: give it instructions, inputs, and connections to other tools, and it executes automatically when triggered — by a new CRM record, an updated spreadsheet, a completed form. Design it to pull data from multiple sources and combine it, send results or take actions in tools like Slack, HubSpot, or Google Drive, and handle multi-step processes with branching logic. Use it to flag new customers for case study potential and route qualified ones to marketing, monitor competitor activity and alert sales enablement, or turn raw call notes into summaries distributed to the right teams automatically.
